When it comes to running a concert, preparation isn't optional — it's everything.
As a talent buyer, booking agent, tour or production manager traveling from show to show, you need a gear checklist that keeps the day moving smoothly, no matter what challenges pop up.
That's why I travel everywhere with my Pelican Air 1535 case — the ultimate carry-on-sized workhorse that's lightweight, durable, and perfectly sized for overhead compartments.
Packed inside are my five travel essentials that help me stay ready for anything for any type of live event production—plus a few bonus items you might want to consider adding to your own travel kit.
1. Motorola Radius CP200 Concert Radios + Charger, Shoulder Mics, Backup Batteries
Motorola Radius CP200 Radios are critical for real-time communication.
I travel with multiple units (6 total radios to be specific), a bank charger, shoulder microphones, and spare batteries.
✅ Front of House (FOH) communication equipment
✅ Stage management coordination
✅ Tour manager direct line if they don't provide a "promoter radio"
✅ Emergency updates to stakeholders like weather, production changes, artist needs
If you can’t talk, you can’t fix. Radios keep the show moving, and I don’t run as how without them!
2. Epson Workforce WF-110 Wireless Color Mobile Printer
The Epson Workforce WF-110 fits neatly in my case, with a wired connection option if Wi-Fi isn’t available. As it’s a fragile item, I do wrap the printer in a small blanket to absorb contact.
✅ Print last-minute set lists (it happens constantly!)
✅ Emergency signage for dressing rooms, catering, stage doors
✅ Updated schedules or guest lists
I keep paper protected in a manila envelope and carry extra ink cartridges (both color and b&w) specific to the WF-110.
3. MNN 15.6" Portable Monitors
When you’re used to working with dual monitor sat home, staring at one tiny laptop screen feels like a downgrade. That's why I travel with MNN 15.6" FHD Portable Monitors.
✅ Boost productivity with dual screens on-site
✅ Manage advancing docs, live show schedules, and emails simultaneously
✅ Connect with USB-C cables and necessary adapters (always carry backups)
4. Critical Supplies Kit
Every pro builds their kit slightly differently, but here’s what’s always in mine:
✅ Sharpies (multiple colors)
✅ Gaff tape and masking tape
✅ Pens, pencils, paper clips, rubber bands
✅ Basic first aid items (band-aids, antiseptic wipes)
✅ Poster tube for signed concert posters
Pro Tip:
I avoid scissors, knives, or anything close since I never check my Pelican case when flying — better to find scissors onsite than risk TSA issues. I can’t be slowed down by the airport either at check-in or waiting for bags.
5. Emergency Sticky Passes
Sometimes credentialing goes sideways — missing VIP passes, not enough staff laminates, forgotten meet-and-greet badges.
✅ I carry a stack of Degy-branded sticky passes.
✅ Levels can be checked off manually (All Access, Artist, Production, Media, etc.)
✅ Dated stickers = security integrity.
✅ Stick-ons prevent re-use at future events.
Sticky passes save the day without holding up security or stage access.
Honorable Mention: Apple AirTags in Every Case
Every case I own — my Pelican Air 1535,backpacks, and suitcases — is equipped with Apple AirTags.
✅ Fastened securely inside, often hidden
✅ Multiple team members can track
✅ Peace of mind if a case is misplaced or stolen
Tracking your gear isn’t optional anymore.
